Taxitec Oy respects your privacy. This privacy notice describes your rights to maintain your privacy and our commitment to protecting your personal data. Taxitec Oy strives for complete transparency in protecting privacy and in the options you can choose when Taxitec Oy processes your personal data.
Taxitec Oy is a Finnish company. Taxitec Oy supplies software and services worldwide to private and public sector customers (Customers). Taxitec Oy's headquarters are located in Kuopio. Taxitec Oy is located in the EU/EEA area, so European data and privacy regulations and directives apply to it. Our privacy policy and guidelines are based on EU Directive 95/46/EC and the privacy legislation in force in the countries where we operate.
This notice is visible on the Taxitec.fi website and at the bottom of all Taxitec Oy websites.
Scope and acceptance
This privacy notice applies to all Taxitec Oy business processes and websites, domains, mobile solutions, cloud services, communities, Taxitec-branded websites, and third-party social networks (such as Facebook) (Taxitec Oy Sites). Cloud service-specific attachments appear in the terms or equivalents of the respective service.
This notice describes data processing performed by Taxitec Oy when Taxitec Oy determines the purpose and means of processing (Taxitec Oy as data controller) and data processing performed on behalf of Customers following their instructions (Customer as data controller and Taxitec Oy as data processor).
Personal data refers to information that allows an individual to be identified, such as an address, email address, or phone number. We must process your personal data in order to serve our Customers. By providing us with your personal data, you accept the practices and terms of this privacy policy. If you do not agree to this, please do not use Taxitec Oy Sites or provide your personal data.
Whose data do we process?
Taxitec Oy processes the data of job applicants, contact persons, customers using software, and potential new customers who contact us through Taxitec Oy Sites or other channels. Our notice appears in the section describing the data controller.
In addition, we process data of our Customers' employees and other individuals for whom our Customers act as data controllers. Our notice appears in the section describing the data processor.
In this notice, data subjects may be referred to as individuals or you.
Taxitec Oy as a data controller
Taxitec Oy acts as a data controller for personal data that we collect from job applicants, personnel of a Customer that has or may have a business relationship with Taxitec Oy, and individuals who request information from us for themselves or on behalf of their employer. If you represent a Customer of Taxitec Oy, your rights are the same as an individual representing only themselves.
Why we process your personal data
To manage its customer relationships and fulfill its commitments to its Customers, Taxitec requests information from you describing your role as a customer contact person or service user. Our goals are to:
a) Provide quotes for software and services requested by Customers or potential Customers
b) Inform about software and services closely related to services and software already used by the Customer
c) Deliver in the manner agreed with the Customer
d) Provide support to users of our software and services
e) Improve the quality of our software, services, and Taxitec Oy Sites
f) Identify and prevent security threats, carry out maintenance, and fix errors
g) Prevent misuse of our software and services
h) Provide information generally needed in our deliveries and in managing customer relationships
i) Invoice, process orders and payments, and track Customers' financial developments
j) Enable payment for software and services purchased through Taxitec Oy Sites
Processing data for the purposes mentioned above (a–j) is necessary to manage customer relationships. Therefore, Taxitec Oy does not request your consent to process your personal data. In our view, this processing causes you no harm.
In addition, we collect data on contact persons and service users for the following purposes:
k) Managing access rights to web-based services (cloud services)
l) Promoting sales of new products and services
Personal data must be collected to grant access rights to many of our software programs, services, and requested information.
How we collect your personal data
Taxitec Oy generally collects personal data directly from you or from other individuals associated with your employer, who acts as our Customer. Such an individual may be a supervisor or a colleague. If your employer, as a Customer, purchases Taxitec Oy software or services through a Taxitec Oy partner company, we may collect your data from that partner company.
When you use Taxitec Oy Sites, we use cookies and other tracking technologies with your consent to optimize your experience. The sections covering automated data collection tools provide further information on these technologies and your rights.
In certain situations, we may collect your data from other permitted sources if you have given that party permission to disclose your personal data to others. These sources may include third-party data aggregators, Taxitec Oy marketing partners, public sources, or third-party social networks. Taxitec Oy can combine personal data received from one source with data obtained from another source. This provides us with a more comprehensive picture of you as a contact person, enabling us to serve you better and in a more personalized manner.

Taxitec Oy uses various technologies to collect information about your navigation on websites and to obtain information about your interests and preferences that you have permitted.

Automated marketing tools
Google Analytics: This cookie allows us to obtain information about user activity on the site, such as page views, traffic sources, and time spent on the site. This information is not linked to personal data and appears as numerical data, so individuals cannot be traced from it. This helps protect your privacy. Using the Google Analytics service, we can see which content on our site is popular, allowing us to strive to provide you with more content you find relevant to read and view.
Google Analytics Remarketing: This feature places cookies on your computer. After you leave our site, Google can display Taxitec Oy advertisements that may interest you based on your behavior on our site. This information cannot be linked to a person.
Google AdWords: Using Google AdWords code, we can see which page inquiries originate from. This allows us to use our search engine budget more efficiently. This information cannot be linked to a person.
Google AdWords Remarketing: This feature places cookies on your computer. After you leave our site, Google can display Taxitec Oy advertisements that may interest you based on your behavior on our site. This information cannot be linked to a person.
You can prevent Google from collecting and processing the data generated by the Google cookie by downloading and installing the Google Analytics Opt-out Browser Add-on for your browser. This add-on is available at http://tools.google.com/dlpage/gaoptout.
What personal data do we process?
Taxitec Oy may process, for example, the following personal data belonging to you:
- Your own contact details and the Customer's contact details, such as name, address, email address, and phone number
- Date of birth, age, and gender
- Employment details, such as job role, position, as well as professional preferences and interests
- Feedback, comments, and questions concerning Taxitec Oy as a subcontractor, our software, or our services
- Photos or videos taken by you on our premises
- Content uploaded by you, such as photos or videos
- Unique user details, such as username, password, and security question
- Information provided by your browser, such as browser type, language, the address of the website you arrived from, and other traffic data, such as IP address
- Clickstream behavior, such as links clicked and timestamp of clicks
- In some cases, we may match the collected IP address with a mapping service to determine your location
- If you submit, for example, a comment to a public forum or Taxitec Oy Site, any user of the site can read and use it for purposes that neither Taxitec Oy nor you can control. Taxitec Oy is not responsible for information you submit to such forums or Taxitec Oy Sites. Taxitec Oy does not publish, for example, your comments or testimonials without your prior consent.
As a data controller, Taxitec Oy does not process your sensitive personal data.
How we disclose your personal data
It is important for us to provide the best possible customer service and deliver the most positive experience. The goal is to ensure that you have access to the information you need when you need it and that Taxitec Oy does not contact you too frequently.
Taxitec Oy does not disclose your personal data to third parties for marketing purposes without your permission.
Taxitec Oy may disclose your personal data to third parties for other purposes only as follows:
Business partners
Taxitec Oy may disclose your personal data to its partners if business operations require it. This may happen, for example, if you purchase our software or services on behalf of your employer from one of our authorized partners.

Corporate acquisitions
If Taxitec Oy merges with another company or undergoes an acquisition, or if Taxitec Oy's business is sold in whole or in part, the acquiring party, along with the consultants engaged by it and Taxitec Oy, will receive access to the data managed by the relevant Taxitec Oy unit. In some cases, this may include personal data. In these situations, external parties will enter into a non-disclosure agreement with Taxitec Oy covering any potential disclosure of personal data.
Your rights
Right to opt out of marketing communications
You have the right to opt out of receiving marketing communications from Taxitec Oy by doing the following:

(b) Contacting us by email
If you opt out of receiving marketing communications, you may still receive administrative notifications from Taxitec Oy, such as order confirmations and notices regarding your user account activity (for example, password reset confirmations and notices).
Right of access and rectification
You have the right to request a copy of your personal data. You can send us a request regarding this.
You also have the right to request Taxitec Oy to correct any errors in your personal data. If you have a Taxitec Oy user account, you can usually do this in the Contact Us section of the Taxitec Oy site. You can manage your Taxitec Oy newsletter subscription by clicking the subscription management link visible at the bottom of the messages you receive. You can also send us a request to correct your data.

How do we protect your personal data?
Taxitec Oy wants to be worthy of the trust you place in us. Taxitec Oy is committed to preventing unauthorized access, disclosure, and other improper processing of your data. Furthermore, Taxitec Oy is committed to ensuring that data is used correctly to guarantee data security and safe availability. As part of our commitment, we use reasonable physical, technical, and administrative methods to safeguard the information we collect and process. Taxitec Oy has implemented several measures to ensure data security:
Protected environment – Taxitec Oy stores your data in secure environments accessible only to those Taxitec Oy and subcontractor employees who require access to perform their job duties. Additionally, Taxitec Oy complies with generally accepted industry standards.
Encryption of payment details – Taxitec Oy uses encryption meeting industry standard requirements to protect confidential information, such as credit card details sent over the internet, when you pay in Taxitec Oy's online stores.
Pre-authentication for account access – Taxitec Oy requires registered users to verify their identity using credentials such as a username and password before accessing their account or making changes to account details. This prevents unauthorized access.
Please note that these measures do not cover personal data you share on public platforms, such as forums or message boards.
How long do we retain your personal data?
Taxitec Oy retains your personal data only for as long as necessary to fulfill the stated processing purposes, such as responding to inquiries, resolving issues, or fulfilling legal obligations.
Therefore, we may retain your personal data for a reasonable period after your last contact. When the collected personal data is no longer needed, we securely destroy or delete it. We may process data for statistical purposes, but in such cases, the data is anonymized.
Taxitec Oy as a Data Processor
Taxitec Oy provides a variety of services to its Customers. These services involve processing Customer data and potentially processing personal data. The purpose of processing is determined by our Customers, not by Taxitec Oy. In such cases, the Customer acts as the data controller, and Taxitec Oy acts as the data processor, processing data in accordance with the Customer's instructions. When acting as a data processor, Taxitec Oy complies with a Data Processing Agreement (DPA) executed with the Customer in accordance with data protection legislation. The Customer has provided consent and guarantees that:
The Customer owns or is otherwise authorized to transfer the data to Taxitec Oy for processing, and the Customer is responsible for the accuracy, correctness, content, reliability, and compliance of the data with statutory requirements.
As the data controller, the Customer is obligated to notify authorities and/or the data subjects of any breach or unauthorized disclosure of personal data as required by law.
When acting as a data processor, Taxitec Oy is obligated to implement technical and organizational security measures to protect privacy on behalf of the Customer acting as the data controller.
As a data processor, Taxitec Oy will not process personal data in any manner other than what is authorized in the agreement concluded with the data controller.
If data subjects have questions, comments, or requests concerning personal data processed by Taxitec Oy, these must be directed to the data controller. As a data processor, Taxitec Oy will not disclose personal data to data subjects unless instructed to do so by the data controller. If the police or another authority requests the disclosure of personal data, Taxitec Oy will notify the data controller immediately and disclose information only under a court order.
Taxitec Oy provides non-public information regarding its internal systems and data processing routines to Customers and partners upon request, subject to non-disclosure agreements where applicable.
Subcontractors and Data Transfers
In certain cases, Taxitec Oy engages subcontractors to perform data processing. In these instances, your data or Customers' data may be transferred outside EU/EEA countries. These subcontractors are typically providers of cloud services or other IT infrastructure. When subcontractors are engaged, Taxitec Oy enters into a Data Processing Agreement (DPA) with them to protect your privacy and fulfill commitments made to Customers.
Changes to this Privacy Notice
If we make changes to this privacy notice, we will publish the revised notice along with the date of revision here. We encourage you to review the notice regularly. If we make significant changes that materially alter our privacy practices, we may also notify you through other channels, such as by sending an email or posting a notice on our website and/or social media pages before the changes take effect.
