Cabman bookkeeping guide<\/h2>\n\n\n\n

The Cabman MDT taximeter continuously collects trip data to the Cabman Data portal. This trip information is compiled under the Shifts tab in Cabman Data, where you can easily generate both PDF and Excel reports from it.<\/p>\n\n\n\n

The primary tool for accounting should be the updated Cabman Data reporting, which you can easily generate from the bottom of the Shifts tab in Cabman Data using the \"Generate reports\" button for your chosen time period. This information is stored for a total of 500 days. Detailed instructions on generating and using this report can be found at the link below:<\/p>\n\n\n\n

Additionally, it is possible to download payment and shift reports for a longer period in Excel format from Cabman Data by using the Reports button located at the top of the Shifts tab.<\/p>\n\n\n\n

How data is updated in the Excel based payment and shift reports<\/h3>\n\n\n\n

Data is updated in the Excel report every early morning for shifts ended before that time. If a shift continues past the early morning, this data will only appear on the report for inspection the following early morning. For this reason, monthly reports should only be generated on the 2nd day of the month, because if the company has trips that have extended past this early morning threshold, they will not be included in the Excel report until the 2nd day.<\/p>\n\n\n\n

How to use the Excel file<\/h3>\n\n\n\n

The report comes in Excel format, complete with options to organize data by each column. Excel also automatically calculates total sums on the bottom row according to the selected columns, as long as editing has been enabled in Excel.<\/p>\n\n\n\n

If you use an application other than Microsoft Excel to open this file, errors may occur. We therefore recommend using only Excel software. The desktop version of Excel is paid, but Excel Online is free to use. You only need a free Microsoft account for this. Data retention period<\/h3>\n\n\n\n

Cabman Data's Excel reports are downloadable for two years from the end of the shift in question. However, shift reports are retained for 7 years, and detailed shift-specific data on the Shifts tab\u2014such as receipt copies, location data, etc.\u2014can be reviewed for 500 days. It is recommended to download Cabman Data payment reports monthly to a separate hard drive or cloud storage as a backup, even if the information has already been entered into accounting.<\/p>\n\n\n\n
